Privacy policy

Traklio is provided by Daxion Technologies Pvt Ltd(“we”, “us”). This policy explains how we handle personal data when you visit traklio.io, use the Traklio platform at app.traklio.io or a company address such as yourcompany.traklio.io, or contact us.

We are the controller for the data we need to run Traklio and our business: your account, sign-in and security records, billing, website enquiries and how the service is used.

We are a processor for the project content that companies and workspaces put into Traklio: inspections, NCRs, RFIs, documents, photos, comments and the people involved in them. The company or workspace that owns the project decides what goes in, who can see it and how long it is kept, and we process it on their instructions. If you have a question about project content, contact that company first; we will help them answer it.

• Account details: your name, email addresses, job title, company and a hashed password, or your Google profile if you sign in with Google.
• Security records: sign-ins, active sessions, two-factor authentication settings, IP addresses and the browser you used.
• Membership and roles: the companies, workspaces and projects you belong to and your role in each.
• Project content: the records, files and comments you and your colleagues add, and the audit trail of who did what and when.
• Professional record: credentials earned from work others have signed off, if you choose to have one.
• Billing: invoices, amounts and payment status. Card details are handled by Stripe and never reach us.
• Enquiries: what you send through our contact form or by email.
• Cookies: only those needed to keep you signed in and remember your workspace. See our cookie policy.

• To provide Traklio under our contract with you or your organisation: accounts, workspaces, projects, workflows, notifications and support.
• To keep it secure (our legitimate interest, and a legal duty): detecting misuse, protecting accounts and keeping audit trails intact.
• To bill under our contract, and to keep financial records the law requires.
• To reply to enquiries and, if you ask, arrange a demo or pilot (our legitimate interest).
• To improve the service from how features are used, in aggregate (our legitimate interest).

When you use the Assistant, the question you ask and the project records needed to answer it are sent to Google's Gemini models on Google Cloud Vertex AI to produce the answer. The Assistant only reads what your own role lets you see.

We don't use your data to train AI models. The Assistant never approves, signs or closes anything: people do.

We don't sell personal data. We share it only with the providers that run parts of Traklio for us, under contracts that require them to protect it:

• Our hosting provider: the servers that run the application, database and search.
• Cloudflare: file storage (R2) and delivery of our websites.
• Stripe: payments.
• Resend: sending email.
• Google: sign-in with Google, and the Assistant (Vertex AI).

Within Traklio, the people in your company, workspace or project see what their role allows. We may also disclose data where the law requires it.

Daxion Technologies Pvt Ltd and some of our providers process data outside the UK and the European Economic Area. Where the law requires it, we rely on recognised safeguards such as standard contractual clauses for those transfers.

We keep account data while your account is open, and project content for as long as the company or workspace that owns it keeps it.

Audit trails are kept with the records they describe, because their purpose is to prove what happened. Billing records are kept as long as tax law requires. Backups are kept for a limited period and then deleted.

Depending on where you are, you can ask to see the personal data we hold about you, correct it, delete it, restrict or object to its use, or receive a copy to take elsewhere. You can withdraw consent where we rely on it.

Email admin@traklio.io. For project content, we'll pass your request to the company that controls it.

If you're unhappy with how we've handled your data, you can complain to your data protection authority: in the UK, the Information Commissioner's Office (ico.org.uk); in India, the Data Protection Board of India.

Traklio is a professional tool and isn't meant for anyone under 18.
